Production Coordinator, Printed Materials (Development Marketing)

ESSENTIAL FUNCTIONS
As a member of the Development Marketing service unit, coordinate purchasing of assigned print and promotional projects for the Division of Development and the Jimmy Fund. Tasks include but are not limited to:

  • Maintain relationships with existing vendors to fulfill printing, mailing, and promotional item requirements, including offset, digital, and large format printing, mailing, promotional items, and apparel.

    • Oversee competitive bidding process for print and promotional item vendors on assigned projects.

    • Select vendors based on project specifications and input from Development Marketing and/or business unit colleagues.

    • Assist in answering technical questions from vendors, and Development Marketing Team about project specifics.

    • Coordinate proofing process for assigned projects, ensuring proofs are internally routed and returned to vendors in a timely manner.

    • Act as a liaison with print vendors and mail houses to facilitate timely, accurate mailings; facilitate prompt payment of postage invoices.

    • Coordinate on-time delivery, quality assurance, and proper distribution of finished products.

    • Attend press checks as needed.

  • Serve as a key member of the Development Marketing team to:

    • Help create the most cost-effective printing and mailing specifications for assigned jobs.

    • Keep the Project Log accurate and up-to-date with production specific project details.

    • Provide back-up support to Media and Traffic Coordinator, Development Marketing.

  • Source, recommend, and fulfill Division-wide orders for promotional products.

  • Manage online stationery ordering inventory (over 250 pieces), and track usage.

    • Facilitate annual stationery order for Division

SUPERVISION: Reports to Assistant Director, Marketing Operations. Works with a team of writers, graphic designers, and traffic manager. No direct supervisory responsibilities, however, a considerable amount of autonomy in decision-making and completing work-related tasks is required.

WORKING CONDITIONS: Workstation in typical office setting. Works on deadline. Some use of personal vehicle for business purposes may be required.

QUALIFICATIONS: Bachelor's Degree required. One to three years of experience in digital and offset print purchasing and a strong knowledge of the printing and premiums industry required. Excellent proofreading, writing, communications, and customer service skills required. Strong organizational, relationship-building, and negotiation skills required, with proven capability to manage multiple projects and meet multiple deadlines. Literacy in Word, Excel, and project management software is necessary.
